Committee Charge
The Nominating Committee shall agree to a list of nominees (all of whom shall be members in good standing) for members of the Council or officers, as the case may be, to succeed those members or officers whose terms expire two years hence. Any person so nominated shall have, prior to nomination, agreed to serve if elected and to attend, without expense to the Society, the meetings of the Council.

Committee Membership
Each year, the President will enlist an individual to act as Chair of the Nominating Committee. Working together, the President and Chair will construct a Nominating Committee roster with substantial diversity with respect to work environment, scientific discipline, seniority, and other considerations (see details in By Laws below). Ideally, one or more members of the Nominating Committee will have served in consecutive years to maintain continuity. The final roster must be approved by Executive Board within 15 working days from the beginning of the calendar year.
Committee Roles and Responsibilities
- Immediately after formation, the Nominating Committee will revise the Committee SOP to update and understand its general and specific charge for the current year.
- The Chair will, through the management company, inform EMGS membership of their opportunity to nominate candidates for election, e.g. via email.
- The Chair will solicit from the management company a complete list of EMGS members in good standing eligible for election, in addition to other information helpful for identifying dedicated members, such as committee service, Annual Meeting program development, etc. The Nominating Committee members will independently review these materials and establish their initial lists of desirable candidates for each position and will meet via teleconference to review the lists of individuals brought forward by different members and, through discussion, combine and revise to a prioritized list of final target candidates. All such discussions are private and confidential.
- As needed, Committee members with knowledge of previous years’ nomination cycles may provide information relevant to the process, but importantly each year’s nomination process is conducted anew.
- Members of the Nominating Committee will personally contact candidates to solicit their willingness to stand for election. In general, the Chair will contact candidates for Vice President Elect, Secretary and Treasurer, while other members will contact candidates for Councilor. Solicitations will be made in order of the established prioritization and will end when the required number of candidates have agreed to be nominated.
- As needed, the Nominating Committee will confer by email or teleconference on the progress of the solicitation process, respond as needed to specific concerns of candidates, and/or extend the prioritized list of candidates.
